Privacy notice

How we collect, use, share and protect personal information — written in plain words. This notice covers the website, the database, our forms and the video interviews.

The short version
  • We collect what you give us on our forms and in your interview, and what we need to match sales people with jobs.
  • Sales people: your profile goes to a company only after you say yes to that job. On the public site you appear under a changed name, and only with your written permission.
  • We never sell personal information. We share it only with the companies and partners you approve, and with the services that run our site and email.
  • You can ask to see, fix or delete your information at any time: hello@hiresales.ai.

1Who we are

HireSales AI (Pty) Ltd ("HireSales", "we", "us") is a South African company. We run a marketplace that interviews, scores and matches B2B sales people with companies in South Africa, the United Kingdom and the United States. We are the responsible party under the Protection of Personal Information Act (POPIA). Where the UK or EU data protection laws apply to you, we act as the controller.

2What we collect

If you visit the site. Basic technical information — the pages you open, your device and browser type, and an approximate location from your IP address — through the analytics described in section 8.

If you are hiring, or a recruitment partner. What you put on our forms: your name, work email, mobile number, company or agency, your role, what you are looking for in a sales person, the job brief (including the job ad, the website and your notes), and messages you send us. If you register for the database we also keep a record of your registration and the profiles you view or request.

If you are a sales person. What you put on the application form: your name, contact details, where you are based, your sales history — job titles, targets, deal sizes, who you sell to — what you want next, and your CV if you send it. If you come to an interview we record the video interview and keep our notes, our assessment and the profile we build from them. If we check a claim with a reference, we keep what the reference tells us.

We may also record calls and video interviews to check quality and train our team. We tell you before we record.

3How we use it

  • To reply to you and set up what you asked for — a shortlist, a partner call, an interview.
  • To assess and score sales people, build their profiles, and match them with jobs.
  • To show a sales person's profile and video to a company or partner — only for a job they have said yes to.
  • To show a small number of profiles on the public database page — under a changed name, with only the fields the person has approved, and only with their written permission (section 4).
  • To prepare candidates for interviews (the prep pack) and support both sides through to an offer.
  • To run, protect and improve the site and our service, and to keep the records the law requires.
  • To send you emails about your application, brief or account, and — if you agree — news about HireSales. You can stop marketing emails at any time with the link in the email.

We rely on your consent (for interviews, video, the public profile and marketing), on the steps needed to provide the service you asked for, and on our legitimate interest in running a safe and useful marketplace.

4Video interviews and profiles

Your video interview is recorded and stored securely. It is shown, with your profile, to companies and recruitment partners who have registered with us — and only for jobs you have said yes to. Companies see your first name and initial until you say yes to a specific job; they never see your current employer's name on the public site.

The public database page shows a small number of profiles under a changed name. We only do this with your written permission, and we only show the fields you approved: your role, sector and city, our assessment, your fingerprint, the main risk we noted, and — on the full profile — your work summary without company names. Never your salary, gender or ethnicity.

You can withdraw your permission at any time. We then remove your profile and video from the public site and from any company that has not yet been introduced to you.

5Who we share it with

  • Companies and recruitment partners — a sales person's profile, video and packet, for a job the person has said yes to. A partner may present the packet to their client under the partner's name.
  • Service providers that run our site, host our videos and files, send our email, and give us analytics. They may only use the information to provide their service to us.
  • Professional advisers and the authorities where the law requires it or to protect our rights.

We never sell personal information. Some of our service providers are outside South Africa; where information leaves the country we make sure it is protected to a similar standard, as POPIA requires.

6How long we keep it

Sales people: for as long as you are in our pool, and for a reasonable period after so we can honour guarantees and answer questions about a placement. Ask us to remove you at any time.

Companies and partners: for as long as we work together, and afterwards for as long as our agreement, our invoices or the law require.

Visitors and enquiries: for as long as we need to answer you and to keep the site safe. Analytics data is kept in summarised form.

7Your rights

You can ask us to show you the personal information we hold about you, to correct it, to delete it, to stop using it for a purpose, or to send it to you in a usable form. Where we rely on your consent, you can withdraw it at any time — it does not affect what we did before you withdrew it. Email hello@hiresales.ai and we reply within a reasonable time, usually within a few business days.

If you are not happy with how we handled a request, you can complain to the Information Regulator (South Africa). If UK law applies to you, you can complain to the Information Commissioner's Office (ICO).

8Cookies and analytics

The site uses a small number of cookies and similar tools to remember your choices (for example that you have registered for the database) and to measure how the site is used, so we can improve it. We do not use them to build advertising profiles of you. You can block or delete cookies in your browser; parts of the site — such as the database — may then not remember you.

9Security

We protect personal information with access controls, encryption in transit, and by giving access only to the people who need it. Video interviews and CVs are stored in private storage, not on public links. No system is perfectly secure; if we learn of a breach that affects you, we will tell you and the regulator as the law requires.

10Children

Our service is for people aged 18 and over. We do not knowingly collect information from anyone younger. If you think we have, tell us and we will delete it.

11Changes

We may update this notice as the service or the law changes. The date at the top tells you when it last changed. If a change affects your rights in a big way, we will tell you by email or on the site.
